Administrative Assistant

We are searching for an Administrative Assistant to work with a very stable company in the construction industry. The role requires exceptional communication, organization, attention to detail and customer service skills in a fast-paced and high-energy environment.

The hours are M-F/ 7:00am-3:30pm. Full scope of benefits are offered.

Responsibilities include but are not limited to:

  • Provide administrative level service to the Industrial technicians, customers, and management to ensure effective day to day operations

  • Dispatching and scheduling technicians daily for repairs and preventive maintenance

  • Tracking PM completions and updating equipment list as required

  • Maintaining the repair and parts log

  • Service report audits and revisions

  • Weekly payroll to submittal

  • Issuing and tracking of purchase orders for Industrial account

  • Parts/material ordering, tracking, and updating ETA’s

  • Weekly technician on-call schedule updates

  • KPI and Man-Hour reporting to customer

  • Managing/updating shared Outlook calendars


Required Knowledge, Skills, and Abilities:

  • High school diploma or equivalent

  • Minimum of 5 years of Office/Administrative experience

  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook)

  • Time Management and Organization

  • Prioritization and Problem-solving
