Under the supervision of the Payroll Manager, this position works closely with the Payroll Manager to provide administrative and technical payroll support to all the HRAS and internal employees in problem resolution, process improvement, and internal customer service. Also, responds to routine correspondence and assembles highly confidential and sensitive information. Deals with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize, and organize diversified workload.

  • Manage the Payroll inbox

  • Process daily Out of Cycle check requests

    • Researching inquiries as necessary

  • Work with AR team on invoice discrepancies

  • Enter and Audit Direct Deposit for employees with multiple accounts

  • Process and Audit Overpayments and clear advance banks collected outside of the system

  • Process the Weekly & Biweekly payroll

    • Enter Manual Timesheets for Temps & Contractors as needed

    • Approve CA time per California Labor Code

    • Act as backup for Payroll Manager’s urgent duties

  • Manage Start to Finish of all Garnishmens:

    • Responsible for responding to and entering all Garnishments

    • Process Weekly Garnishment run & mail checks with supporting documents

    • Add in new Garnishment authorities as needed

  • 401k Assistance:

    • Audit 401k Rate changes weekly

    • Assist with gathering information for annual audit as needed

  • Reporting Duties:

    • Send Check Count Reports to Management Group

    • Special reporting & projects as needed

    • Process Quarterly & Annual Healthy SF reporting

  • Process Improvement/Auditing:

    • Logging payroll errors weekly & help identify root cause

    • Willingness and desire to work with the Payroll Manager to continuously evolve our processes to be more efficient and effective

  • Other duties as directed by the Payroll Manager and/or VP of Finance




  • BA or BS degree in Accounting or Finance is desired

  • Minimum of 2 years of direct payroll processing experience

  • Must have working knowledge of Payroll procedures and applicable Federal, State, and Local wage and hour law. Multi state knowledge is a plus

  • Strong Excel experience (pivot tables and VLOOKUP type formulas +)

  • Maintains employee confidence and keeps information confidential

  • Ability to work in a time sensitive environment

  • Orientation to the future

  • Extreme attention to detail required

  • Strong interpersonal (verbal and written) communication skills

  • Ability to work with other departments collaboratively

  • Organizational, multi-tasking, and prioritizing skills

  • Previous experience in the Staffing, PEO or related industries is a plus

  • FPC certification is a plus




  • Ability to sit for 2 hours without standing, sit up to 8+ hours per day.

  • Ability to engage fine motor skills such as typing and writing for up to 2 hours without a break, use fine motor skills for up to 8+ hours per day.

  • Ability to see and read computer screen, employment documents and correspondence.
