POSITION SUMMARY

This position works independently in performing the duties of the position. Processes labor distribution and encumbrances. Prepares retroactive labor distribution journals. Troubleshoots labor distribution/encumbrance feed problems. Reviews fringe benefit changes and processes any retroactive entries. Serves as backup for processing payroll.

This position works closely with HR and Research Accounting as well as benefit vendors.

Ensures confidentiality of information, follows accounting principles, and exercises sound judgment.

ESSENTIAL FUNCTIONS 1) (100%) Finance

  • Labor Distribution - Runs the payroll system month-end processes, analyzes outputs, troubleshoots discrepancies, and uploads the files into the general ledger system. Processes all labor distribution reclassification/adjustment journals. Runs the labor and fringe benefits encumbrances, analyzes outputs, makes necessary changes, and uploads the file into the general ledger system. Resolves any problems with data upload.

  • Fringe Benefits - Processes direct debit payments from retirees and direct-paid employees and posts payments into payroll system.

  • Payroll Processing/Audit -- Backs up the Payroll Specialist in the incumbent’s absence or in other cases in which assistance is required — enters Form W-4 and direct deposit information, audits timesheets, enters hours worked, processes special checks and regular payroll runs, prints payroll checks, runs the ACH and positive pay interface processes and uploads files to the bank. Reviews and approves adjusting entries prepared by the Payroll Specialist. Audits data entered by the Payroll Specialist such as W-4 changes, direct deposit changes.

  • Miscellaneous - Answers questions regarding payroll checks/deposits, benefit payments, and other payroll related matters. Assists in resolving payroll system problems. Assists with reviewing PAR's and processing retroactive adjustments. Works on special projects for the Payroll Manager, Senior Accountant-Payroll and Controller.

 

EXPERIENCE

Required:

  • Minimum of three years of combined professional experience in Accounting and Payroll.

  • Knowledge of payroll and accounting software applications.

  • Strong knowledge of payroll, labor, and tax regulations and practices.

  • Strong functional knowledge of accounting policies and procedures.

  • Ability to work independently and as part of a team.

  • Knowledge of payroll and accounting software applications.

  • Moderate to advanced skills in Microsoft Office suite (Word, Excel, Outlook).

  • Strong organizational, analytical, time-management, and multi-tasking skills.

  • Ability to work independently and as part of a team in a fast-paced environment.

  • Strong attention to detail, problem solving and reconciliation skills.

  • Ability to work under pressure to meet deadlines with minimal supervision.

  • Ability to perform analysis of transactions and determine corrective action.

  • Excellent customer service and written and verbal communication skills with diverse groups of people. Interpersonal skills including tact, good judgment, diplomacy and flexibility in relating to a diverse scientific research staff, faculty, and staff personnel at all levels of the Institute.

EDUCATION

 

• Bachelor’s degree in Accounting, Business or related field, or equivalent combination of education and experience in accounting or finance.
