We are in immediate need of a high skilled, very professional, experienced Executive Assistant to act as the right hand person for a very busy CEO. This pharmaceutical company has been in growth mode the past few years and is still going full steam ahead. The CEO's schedule and expectations are demanding, and we need a strong, organized and focused EA to manage his schedule and help keep him on task.

 

Responsibilities:

 

Provides a complex, diverse, and confidential administrative duties.

Experience working with Board of Directions.

Makes administrative decisions, handles correspondence and schedules calendar appointments.

Handles business, company, and personnel details of a highly confidential and sensitive nature.

Engages with high level contacts inside and outside the company.

Collects and prepares information for use in discussions and meeting of Executive staff and outside individuals as well as department team members.

Coordinates, creates, edits and assembles slides for presentations and provides assistance with collecting and effectively presenting executive-level information.

Reviews and answers mail or phone inquiries and determines if executive action is required.

Arranges department and group meetings, ensuring all necessary information is available for discussion; helps track department level projects, activities and results.

Coordinates domestic and international travel arrangements.

Maintains sensitive records and files.

 

Requirements:

 

Bachelor’s with at least 8 years’ related experience in administration/support and experience supporting VP level or higher in an administrative role in either pharmaceutical or life sciences industries.

 

Experience to include:

 

Experience working with senior level executives within and outside the company, as well as experience with customers, vendors and visitors.

Experience with calendar management, project meeting and event planning and execution, preparation of executive level presentations, travel an expense report administration.

In depth experience and knowledge of organizational operations, policies and procedures.

Must be professional, on task and have excellent written and verbal communication skills.
