Job Title: Junior Exam Logistics Coordinator

Location: Broken Arrow, OK

Schedule: Monday-Friday, 8am-5pm

Pay: $22/hr


Job Description:

We are looking for an individual who has exceptional detail orientation and analytical skills to join our team. The ideal candidate will have experience working in data entry, performing administrative tasks, working well with deadlines, and performing basic data audits. Because of the collaborative nature of this role, the position requires effective teamwork skills. The individual must also have excellent written and verbal communication skills.


Objective:

This position has the primary responsibility for supporting the Certification Department from initial customer contact to monitoring and approving candidates’ applications for both in-person and online exams. The individual will perform daily data entry and validation, and conduct periodic exam audits to the releasing of exam results.


Job Responsibilities and Tasks:

· Process Exam Applications: verify candidate’s eligibility, approve training certificates, and liaise with applicant and training provider, if applicable

· Input data into database software accurately and efficiently

· Maintain data integrity: regularly update database records, verify accuracy of data inputted and perform basic data audits

· Establish priorities by following organizational processes or conferring with team leadership

· Maintain customer confidence and protect operations by keeping information confidential

· Send out email invitations to customers (or phone calls) for exam sessions, personalize the communication to include event details like date, time, and location with oversight deadline calendar

· Manage candidate’s registrations log and contribute to the team effort to send out exam packages in a timely manner by accomplishing related tasks within the deadline to shipping

· Track shipping delivery progress on a daily basis to ensure the exam packages are moving to/from the proctors. Liaise with courier, client, and recipient when necessary

· Offer timely and accurate support to clients, tailoring the communication to suit each individual's needs

· Coordinate proctors and maintain channel of communication until the process is completed (e.g. confirm receipt of exam packages, package contents verification, communication with site contact person for enquiries about venue, etc.)

· Support Exam Logistics Coordinator to identify possible candidate’s issues with online exams and ensure its integrity, including watching and analyzing video content.

· Perform multifaceted general office support

· Work with Testing Software to prepare/score tests

· Other duties as assigned by supervisor


Required skills and qualifications

· Strong time-management skills and an ability to organize and coordinate multiple concurrent projects

· High school diploma or equivalent

· Four or more years of data-entry experience or experience working in an office setting

· Intermediary computer skills

· Proficiency with Microsoft Office Suite, especially Excel

· Detail-oriented with a focus on accuracy

· Integrity, discretion, and respect for confidentiality and privacy

· Excellent written and verbal communication skills, including telephone conversations

· Ability to read, understand, evaluate, and verify a wide range of information in order to recognize and correct discrepancies

· Essential technology skills

· Adaptability, including the ability to learn and adhere to new processes and technology as needed
