Position Title: Legal Assistant

Reports To: Administrative Operations Manager

Location: San Antonio, TX

Employment Type: Full-Time, Non-Exempt

Pay Range: $23 per hour, depending on experience

Shift/Schedule: Monday–Friday

 

 

Position Summary:

The Legal Assistant provides essential administrative support to Associate and Senior Case Coordinators, ensuring efficient case management and smooth daily operations. This role includes case intake, document preparation, maintaining files, and coordinating with Experts to support accurate and timely case progression.

 

 

Key Responsibilities:

  • Enter and update new case information in the Case Management System

  • Conduct daily conflict checks and escalate issues as needed

  • Prepare standard legal and administrative documents (acceptance letters, deposition errata, report shells)

  • Transcribe vehicle and site inspection notes accurately and promptly

  • Complete Expert time entries and weekly expense reports

  • Maintain accuracy and compliance with formatting and internal standards

  • Track task completion and follow up on pending items

  • Provide administrative support to Experts and Case Coordinators

  • Organize and maintain digital and physical case files

  • Proactively escalate issues to prevent workflow disruptions

  • Follow confidentiality standards and internal policies

 

 

Qualifications:

  • 3+ years of executive or legal assistant experience, preferably in product liability or personal injury

  • Associate or Bachelor’s degree in Business Administration, Legal Studies, or related field preferred

  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and Adobe Acrobat

  • Strong organizational, time management, and problem-solving skills

  • Excellent communication skills and high attention to detail

  • Comfortable managing multiple priorities and deadlines

 

 

Work Environment & Physical Demands:

  • Office-based training and work in a cubicle setting

  • Moderate noise level

  • Regular sitting, typing, and phone use

  • Occasionally lift/move up to 15 lbs

High-performing Legal Assistants demonstrating consistent performance may advance to Associate Case Coordinator with expanded responsibilities.
