Provides administrative support to Department Directors at the church. Performs professional secretarial and clerical tasks including typing and the establishment of files and records for individual or multiple directors. Detail-oriented assistants help ensure that our Directors have the time and clarity to focus on being a growing and relevant community oriented church with global impact through inspiring worship, holistic ministry and effective discipleship.


Qualifications

1. High School Diploma or Equivalent

2. At least 3 years experience in general office practices and procedures.

3. Excellent customer service skills.

4. Superior communication, organizational and interpersonal skills.

5. Proficiency in MAC, Microsoft Office Suite, data management systems and other desk top publishing software in a Windows environment.

6. Must have some knowledge of graphics

7. Must be personable and able to work with a diverse group of people by promoting and supporting a teamwork culture environment.

8. Maintain confidentiality.

9. The ability to be innovative, flexible, and multi-task is needed to be successful in this position.


Essential Job Functions

40% Provides administrative support for Director (s) by operating a personal computer to (i.e., prepare a variety of correspondence and confidential material, compiles data; gathers statistics to compile in report form; performs research and writes reports to present monthly and quarterly snapshot power point presentations. Proofreads own copy, and final copy produced by Director(s). Maintains the

Department files and assists the Director(s) in the preparation of the department’s Budget. Coordinates the daily workflow of the office and maintains the Director(s) appointment schedule and organizes meetings. Responsible for submitting check requests, creating purchase orders, property tracks and room requests.

20% Coordinates all new ministry interest inquiries by serving as the liaison between members and the Director(s). Handles sensitive telephone calls to the Director(s) and responds to questions and inquiries regarding department activities and receives and directs visitors.

20% Performs other various duties (i.e., receives, sorts, records, and distributes incoming mail; staples, stuffs and/or packages mail; deliver messages; pick-up and distributes supplies; does copy work; scanning; maintain inventory of supplies, resources and other materials as needed.

15% Provides general computer-generated graphic design and visual communications services (e.g., publications; presentations; website; materials and displays for special events; training; video presentations); submitting e-newsletter requests and pulpit announcements. Edit, update and create content of manuals and booklets as needed.

5% Serves as back up for the telephone system and perform other duties and projects as assigned.


PHYSICAL REQUIREMENTS:

While performing the duties of this job, the employee is regularly required to stand and/or walk as well as talk, see and hear. The employee is frequently required to stand, walk, and sit for extended periods of time and have sufficient hand, arm and finger dexterity to operate a computer keyboard or other office equipment. The employee must be able to lift and/or move up to 50 pounds. Specific vision abilities required for this job include close vision, peripheral vision, depth perception, and ability to adjust focus.
