Job Title: Workplace Project Administrator
Location: San Jose, CA
Pay: $40-$50/hr
About the job:
As a Workplace Project Administrator, you'll support the Project Management Office (PMO) by coordinating documentation, procurement, contract compliance, and vendor onboarding for workplace and construction projects. You'll play a key role in keeping everything running smoothly—ensuring process compliance, maintaining detailed records, and collaborating closely with finance, procurement, and strategy teams.
We're looking for someone who:

Has a Bachelor’s degree (preferred) or at least 2 years of relevant experience (5+ years of general professional experience accepted)

Has experience as a project administrator or in a similar role

Understands construction project lifecycles and compliance standards

Has excellent communication and interpersonal skills

Is proficient with Microsoft Excel, Word, PowerPoint, and Outlook

Knows how to work under pressure and juggle multiple priorities

Has a PMP certification (preferred)
What you'll do:

Support PMO project coordination and documentation

Execute project processes like purchase requisitions, vendor registration, and contract management

Administer and document bidding procedures in compliance with company policies

Coordinate with procurement, finance, and strategy teams on PRs, POs, and contracts
-
Maintain updated and organized project files, including folders and document retention

Monitor project budgets, assist with invoice processing, and ensure timely vendor payments

Serve as the admin point of contact for contractors and vendors

Generate and distribute compliance reports

Contribute to process improvements across the project admin lifecycle
