Position – Parts Department Assistant
Job Location – Eau Claire, WI
Starting Date – Immediate
Employment Term – Temp-to-Hire or Direct Hire
Employment Type – Full-Time
Work Hours (Shift) – 1st Shift (9:00am to 5:30pm, Monday through Friday)
Starting Pay – $18 to $23 per hour, depending on experience

Required Education – High School Diploma/GED
Required Experience – Customer service experience (phone, in-person, or counter-based). Comfortable using computers, POS systems, and vendor portals. Strong communication skills and ability to remain calm under pressure. Previous parts experience highly preferred, but not required.
The Parts Counter Associate is responsible for assisting customers and technicians with identifying, sourcing, and processing HVAC and refrigeration parts. This position is a blend of customer service and technical support, requiring strong communication skills, the ability to stay calm under pressure, and comfort with computer systems and vendor platforms. Day-to-day work includes answering phones, assisting walk-in customers, researching parts across multiple manufacturers, processing orders and returns, and maintaining accurate inventory. This role does not involve upselling or sales quotas, the focus is on delivering reliable service and keeping operations running smoothly.
Responsibilities
- Greet and assist customers, technicians, and walk-ins at the parts counter, by phone, and by email.
- Identify and source HVAC, refrigeration, and truck parts across multiple manufacturers and systems.
- Provide accurate information on part availability, pricing, and compatibility.
- Process orders, returns, and warranty claims in a timely and professional manner.
- Receive, inspect, and verify incoming parts shipments against purchase orders.
- Organize, stock, and maintain inventory; assist with cycle counts and restocking.
- Use POS, ERP, or vendor systems to enter, track, and fulfill orders.
- Maintain a clean, safe, and organized work environment.
- Support technicians with parts lookups and fulfillment requests.
- Participate in training programs to learn product lines and expand technical knowledge.
Qualifications
- High school diploma or GED required.
- Previous customer service experience (counter, phone, or in-person) required.
- Parts counter experience (HVAC, automotive, truck, or heavy equipment) highly preferred, but not required
- Comfortable using computers, POS systems, and vendor portals.
- Excellent communication and problem-solving skills; able to stay calm under pressure.
- Ability to lift up to 50 lbs and remain active throughout the workday.
