Operations Manager

 

This is a full-time, in-person, salaried position (40 hours/week) with retirement and health benefits.

 

Reporting: This position reports to the Pastor/Head of Staff.

Needed for Position: As a 250+ member church with numerous activities and a large campus (including a child care center, coffee shop, and multiple buildings), it has the need for a skilled Operations Manager who oversees the day-to-day operational functions of the church to ensure that its ministries, events, and administrative processes run smoothly and efficiently. This employee supports the mission of the church by performing complex operational tasks and exercising independent judgment and decision making. Collaboration with church leadership to ensure smooth execution of projects, events, and services is paramount, as is clearly communicating priorities that balance administrative requirements and the operational needs of the church.

The Operations Manager connects with every aspect of church life, from facilities to communications, managing and coordinating with staff, and overseeing day-to-day church operations. Leadership, organization, and communication skills are important for coordinating and working with ordained and non-ordained staff and volunteers who carry out the business of the church.

Required Knowledge, Skills/Abilities, Education

  • Excellent interpersonal and communication skills

  • Self-starter, self-directed; able to collaborate; “people person” who seeks to form close working relationships with volunteers and other staff members

  • Ability to collaborate with, develop, and train volunteers

  • Ability to maintain the highest level of confidentiality, discretion, integrity, and professionalism

  • Project management skills

  • Proficient in Microsoft Office Suites, Canva, YouTube, Constant Contact, and Google Suite, with the technological abilities to learn/adapt to church-specific programs and software as needed

  • Excellent record-keeping abilities

  • Strong multi-tasking abilities

  • Associate’s degree or higher required

Position Responsibilities

Supervision

  • Serve as a liaison between pastors, staff, volunteers, and congregation to ensure effective communication and coordination across all operational areas

  • Supervise buildings and grounds staff

Administration

  • Oversee risk management processes, including safety protocols and emergency plans for events and services

  • Ensure the church complies with all local, state, and federal regulations

  • Assist in managing insurance and legal requirements for the church, working with outside counsel or consultants as needed

  • Oversee the maintenance, custodial, property care, and security for all WPC facilities, in conjunction with Administration/Buildings and Grounds Committee

  • Interface with building management company and other contracted employees as needed

  • Manage office and facility supply inventory

  • Arrange for printing as required (pew cards, bulletins, directory, etc.)

  • Attend weekly staff meetings (sets agenda in coordination with Head of Staff, takes notes, communicates action items to appropriate teams)

  • Coordinate building use and event accommodations (worship services, concerts, community events, etc.)

  • Maintain church records, Session minutes, etc. Manage the filing and document storage system

  • Manage vendor accounts (copier, phone, internet, etc.)

  • Manage leases (tenants and parking)

  • Manage church membership rolls and contact information via Servant Keeper platform

  • Track visitor and potential new member data

 

Communications

  • Oversee the church’s internal communication systems, ensuring that all staff and volunteers are informed and engaged

  • Prepare, edit, and produce weekly bulletins for worship services in an accurate and timely manner, in conjunction with staff

  • Prepare and publish the weekly “e-news” in coordination with staff and Communications Team and maintain a list of recipients

  • Maintain and update the WPC website, including:

    • Posting newsletters; posting weekly livestreams

    • Keeping church calendar up to date

    • Reflecting congregational life with videos and photographs, in coordination with the Communications Team

  • Maintain and manage social media outreach, in coordination with Communications Team

  • Assist in the revision and publication of promotional materials, flyers/posters, and pamphlets about Christian Formation classes

  • Maintain and update announcements on TV display in Gathering Place

  • Oversee the church’s external communication systems, supporting outreach and promoting awareness of the church in the community

  • Provide and analyze data analytics (click rates on website, livestream viewers, etc.) in order to support outreach efforts.

 

Human Resources

  • Facilitate background checks for staff and volunteers

  • Support the onboarding of new staff members

 

IT

  • Maintain hardware and software inventories and subscriptions, including passwords

  • Manage security cameras and access system in conjunction with Administration/Buildings and Grounds Team

 

General Church/Office Presence

  • Ensure the church office is staffed during office hours

  • Answer questions from tenants, congregants, and visitors

  • Send and receive/sort mail and packages, answer phones and voicemail

  • Screen requests for help and refer to pastors as appropriate

  • Other duties as assigned

Salary is $65,000 with excellent benefits plan.
