Job Title: Service Administrator

 

Location: Mid City, New Orleans

 

Rate: $60,000-$70,000/annually

 

Position Overview:

We are seeking a highly organized and detail-oriented individual to join our Wealth Management team as a Wealth Management Service Administrator. This role will support financial advisors and clients by providing administrative and operational support, ensuring smooth day-to-day operations of the wealth management services. The ideal candidate will have strong communication skills, a passion for customer service, and a keen eye for detail.

 

Key Responsibilities:

 

Provide administrative support to wealth management teams, including financial advisors, to enhance client service and overall efficiency.

Process client documentation for investment accounts, trust accounts, estate plans, and other financial products or services.

Assist in the preparation of client meeting materials, reports, and presentations.

Coordinate and maintain client accounts, ensuring all necessary paperwork is accurately completed and processed on time.

Maintain detailed records of client interactions and account changes in the firm’s CRM system.

Monitor and track client transactions, ensuring they comply with regulatory requirements and internal policies.

Liaise with custodians, financial institutions, and other third-party partners to ensure smooth processing of client transactions.

Respond promptly to client inquiries and service requests via phone, email, and in person.

Manage and assist with investment account openings, transfers, and fund allocations.

Assist in preparing and organizing reports for periodic client reviews, portfolio updates, and performance tracking.

Stay current on industry regulations and compliance requirements to assist in ensuring adherence to policies and procedures.

Qualifications:

 

Bachelor’s degree in Finance, Business Administration, or a related field (preferred).

1-3 years of experience in financial services, wealth management, or a similar administrative role (preferred).

Excellent organizational skills with the ability to multitask and manage competing priorities.

Strong attention to detail and accuracy in all tasks.

Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and CRM software (experience with financial software such as Salesforce, Redtail, or Wealthscape is a plus).

Excellent communication and interpersonal skills with the ability to interact professionally with clients and team members.

Ability to maintain confidentiality and handle sensitive client information with discretion.

Self-motivated, proactive, and eager to learn.
