We are recruiting for an Administrative Assistant to join a healthcare organization near Walnut Creek, CA. This is a great onsite long-term contract opportunity (6 months) to support a mission-driven company with a reputation for quality service in the healthcare industry. The Administrative Assistant provides administrative and coordination support to the department staff.  Pay: $25/hour 


The ideal candidate will have two years’ experience in an administrative role supporting management, creating meeting memo’s, coordinating travel arrangements (Concur), and strong technical sills with MS Office, MS Teams, and Project Management systems (Jira).  


PRIMARY RESPONSIBILITIES:

  • Prepare email correspondence, manuals, meeting agendas and minutes

  • Manage schedule of department staff as needed

  • Coordinate meeting logistics

  • Coordinate travel and process expenses for department staff

  • Process member reimbursements for travel expenses

  • Provide support for various projects and workshops 

  • Complete intermediate planning functions to support projects, meetings, and programs

  • Schedule onsite and virtual meetings 

  • Perform other duties as assigned


SKILLS & QUALIFICATIONS:

  • High School Diploma or G.E.D. required; Associate’s Degree preferred

  • 2-4 years’ experience in an administrative support role is required

  • Advanced skill in Microsoft Office: Word, Excel, PowerPoint, and Outlook

  • Working knowledge of Concur, DocuSign, ImageRight strongly preferred

  • Working experience with setting up Zoom and Microsoft Teams preferred

  • Working knowledge of Jira or similar Project Management software strongly preferred

  • Critical thinking and problem solving skills

  • Ability to accurately type 50+ wpm

  • Exhibits empathic communication, emotional intelligence, and excellent customer service

  • Excellent verbal and written communication skills

  • Ability to handle multiple projects and changing priorities

  • Professional demeaner in personal interactions
