Job Title: Part-Time Administrative Assistant – Service Coordination & Customer Care

Job Summary:

We are seeking a dependable and detail-oriented Part-Time Administrative Assistant to support our customer care and service operations. This role focuses on tracking completed services, coordinating with supervisors and the customer care team, handling service paperwork, following up on job status, and supporting billing and invoicing. The ideal candidate is organized, communicative, and able to manage multiple tasks in a fast-paced environment.

 

Key Responsibilities:

  • Track and log completed services to ensure accurate job status and documentation
  • Coordinate with service supervisors (“supers”) and customer care team to confirm work completion and follow-ups
  • Prepare and process invoices based on completed work
  • Maintain accurate billing records and follow up on unpaid invoices when necessary
  • Organize and file service-related paperwork and customer documentation
  • Update service and billing trackers, logs, and databases
  • Communicate with customers as needed regarding service updates, paperwork, and payments
  • Assist in identifying and resolving discrepancies between services performed and invoices issued
  • Provide general administrative support to the operations and customer care teams

 

Qualifications:

  • Experience in administrative support, customer service, or service coordination preferred
  • Strong attention to detail with excellent organizational skills
  • Clear and professional communication skills (verbal and written)
  • Proficient in Microsoft Office Suite (Excel, Outlook, Word)
  • Able to work independently and manage time effectively
  • Comfortable tracking multiple service jobs and billing items simultaneously
