The Nevada Secretary of State's office is seeking a highly skilled Document Preparation Specialist with a primary focus on creating professional Microsoft Word documents and converting them into advanced, accessible, and secure PDF forms. This contracted position requires expert-level proficiency in document formatting, accessibility compliance, and fillable form creation using industry-standard tools such as Microsoft Word and Adobe Acrobat Pro. The resulting documents will be integrated into a public-facing website and internal filing systems.

 

Key Responsibilities:

  • Create polished, well-structured Microsoft Word documents based on internal templates, content drafts, and guidelines.
  • Convert Word documents into fillable, secure, and accessible PDF forms using Adobe Acrobat Pro and equivalent tools.
  • Ensure that all PDFs meet accessibility standards.
  • Apply consistent formatting, style guides, and branding requirements across all documents.
  • Optimize PDFs for web display, printing, and internal archiving.
  • Maintain an organized digital filing system, ensuring proper naming conventions and version control.
  • Collaborate with internal teams to gather document requirements and deliver final assets.
  • Perform quality assurance checks to verify accuracy, accessibility, and compliance.

 

Qualifications:

  • Expert-level proficiency in Microsoft Word and Adobe Acrobat Pro
  • Strong knowledge of PDF accessibility standards and best practices.
  • Proven experience creating and managing professional, high-volume documentation workflows.
  • Detail-oriented with excellent organizational, grammar, and formatting skills.
  • Familiarity with document version control systems and file naming conventions.
  • Experience with electronic signatures (e.g., Adobe Sign, DocuSign) is a plus.
  • Ability to work independently, prioritize tasks, and meet tight deadlines.

 

Education:

  • Graduation from high school or equivalent education and three years of progressively responsible relevant work experience.
