The Dental Clinic Operations Assistant is responsible for organizing and managing the dental office and the operational flow of the dental hygiene clinic and student workers. Nature and Scope: The Dental Clinic Operations Assistant is a full-time, 12-month, Professional Support Staff appointment on a schedule established by the Dean of Health Professions. The position involves frequent handling of confidential information and medical records. Indirect supervision is provided; the Dental Clinic Operations Assistant must be able to work independently and accurately prioritize tasks. Independent and professional judgement is required. Operating hours of the dental clinic often necessitate an altered work schedule, which may occur on short notice. Essential Job Functions: Organizes and manages the dental office and part-time/student workers including: - Schedules and screens appropriate patients to fulfill required student clinical course requirements for each individual clinical course including intaking over 1200 patients annually. This involves utilizing patient software tools and applying independent judgement in a fast-paced environment. - Creates and maintains entries in the electronic health record system, Dentrix, to keep patient information updated including communication, medical history and treatment plans. - Documents completed patient types for each student and ensures that patients are scheduled for continued care if needed. - Hires, trains, and supervises part-time workers and student employees in the dental clinic. - Responsible for records management including compliance with the HIPAA, FERPA, Local Records Act and Illinois State Archive. - Communicates with outside agencies including local dental clinics and other organizations. - Troubleshoots patient concerns and identifies complaints that should be referred to the Program Director. - Maintains relationship with Program Director to collaborate on existing protocols, policies, and patient care. - Acts as a referral point and ambassador for the Dental Hygiene Clinic to the community. - Pull reports from Dentrix for the program director and dean that show number of patients served and revenue generated every semester. - Works with the business office to maintain the clinic’s financial ledger and receipt deposits with accuracy. - Monitors and reports problems with clinic computer and software issues to Campus Technologies for support. - Attends biweekly faculty meetings to ensure clinic policies and procedures are appropriate for program changes. - Reviews patient chart accuracy and documentation for quality assurance and treatment deficiencies. - Other duties as assigned. Minimum Requirements: - Five years’ experience in a health care office setting as a receptionist or administrative assistant. - Knowledge of Microsoft Office Suite including Word, Access, Excel. - Organization skills, problem-solving skills, verbal and mathematical abilities sufficient to produce correspondence, prepare reports, document legal records, and balance daily ledger. - Exposure to dealing with the public and organizing office procedures and operations. - Excellent customer service and communication skills. - Experience working with diverse populations. Preferred Qualifications: - Five years’ experience in a dental office setting as a receptionist, dental assistant, or dental hygienist, or a certificate in dental assisting or an A.A.S degree in dental hygiene. - Knowledge of dental office operations: computerized dental patient management system, ability to learn Parkland information systems and new programs as technology changes
