Job Summary:
We are seeking a detail-oriented and highly organized Administrative Specialist with a strong background in inventory management in the Waukegan area. The ideal candidate will possess hands-on experience with Cycle Counting, FIFO (First In, First Out) inventory methods, and have knowledge of Best Before Expiry (BBE) dates and Serial Lot tracking. This position will play a critical role in supporting our inventory operations, ensuring that stock levels are accurate, and assisting with inventory audits and tracking.
Schedule:
Monday-Friday, 8:00am to 4:30pm
Key Responsibilities:

Cycle Counting & Inventory Audits:
Assist with the planning and execution of cycle counts to maintain accurate inventory records. Ensure all discrepancies are investigated and reported in a timely manner. -
FIFO Management:
Monitor and track product flow according to the FIFO method, ensuring that older inventory is sold or used first to reduce the risk of obsolescence. -
BBE (Best Before Expiry) Date Management:
Oversee products with expiration dates, ensuring that inventory is rotated and expired products are flagged for removal from stock. Monitor and track inventory expiration dates to prevent loss due to expired items. -
Serial Lot Tracking:
Maintain and track products by serial number or lot number. Ensure compliance with product traceability requirements and assist with any required recalls or product investigations. -
Data Entry & Reporting:
Accurately input and update inventory data into the inventory management system. Generate and prepare regular reports on stock levels, inventory discrepancies, and cycle count results. -
Inventory Reconciliation:
Collaborate with other departments to perform routine stock reconciliations and identify any variances between physical stock and system records. -
Collaboration & Communication:
Communicate effectively with warehouse, procurement, and logistics teams to ensure timely inventory updates and support the smooth flow of operations. -
Process Improvement:
Assist in identifying and implementing process improvements to enhance inventory accuracy and efficiency.
Working Conditions:

Occasional lifting of inventory items.

May require standing for extended periods and working in a warehouse or storage environment.

Office-based tasks with occasional physical inventory counts in the warehouse.
