Our client in Pennsauken, New Jersey is seeking an Administrative Assistant to join their team. This is a Temp to Hire position, Monday through Friday, 9:00am to 5:00pm, in person. Pay range is $20–$25 per hour, based on experience.


Job Description:

  • Communicate professionally with clients, paralegals, and other legal professionals—both verbally and in writing
  • Review, revise, and draft standard operating procedures and forms needed for all company functions
  • Answer incoming calls, make calls from incoming leads, and intake information from potential clients; screen all calls to identify eligible requests for funding
  • Assist with initial client interviews via phone and email; gather information and manage open requests for funding
  • Maintain regular communication with clients, paralegals, and attorneys
  • Draft routine correspondence and documents, including follow-up emails
  • Learn and operate various computer programs and web-based systems
  • Generate daily/weekly reports in preparation for weekly team meetings
  • Review, analyze, and evaluate funding requests; obtain documentation necessary for decision-making
  • Ensure compliance with legal and company guidelines and procedures
  • Manage and maintain electronic and hard copy case files and databases, including updates
  • Prepare informative reports by collecting, analyzing, and summarizing information
  • Document case highlights and concerns; define funding objectives
  • Use calendars to manage important deadlines, including client and attorney case follow-up
  • Draft, process through DocuSign, and file legal documents
  • Track active open claims
  • Collaborate and correspond with various departments
  • Assist with various accounting and banking assignments
  • Perform clerical tasks such as scanning, filing, and data entry
  • Maintain confidentiality and follow ethical standards
  • Assist with marketing campaigns and social media posts; monitor responses and analyze engagement

Required Skills:

  • At least 3 years of office experience (5 years preferred); one or more years in legal services a plus
  • Highly organized with strong follow-up and follow-through skills
  • Excellent writing, communication, and interpersonal skills; professional phone presence
  • Strong attention to detail and ability to work independently
  • Comfortable and experienced with technology

Education:

  • Associate’s or Bachelor’s Degree preferred
