Our client, located in Ewing, NJ, is seeking a Part-Time Office Administrator. The Office Administrator will support both the Business Office and Research & Development department in order to maintain smooth day-to-day operations.
This is a part-time position.
Schedule: Monday through Thursday, 9:00AM – 3:00PM
Pay Rate: $23-24/hr
Responsibilities:
- Greet and assist clients and visitors. Manage all incoming calls and email correspondence.
- Perform data entry and maintain accurate records including quality assurance administration, commercialization records, and patent and provisional patent administration.
- Prepare and deliver contractual reports and other documents to government and commercial customers as needed.
- Maintain staff calendar. Coordinate meetings and take meeting minutes.
- Assist with tracking milestones, timelines, and deliverables.
- Oversee staff timesheets, ensuring compliance.
- Order office supplies as well as any contract specific materials or equipment. Log deliveries, distribute supplies accordingly, and generate purchase orders.
- Tend to annual inspections and any impromptu daily facility-related occurrences. Ensure compliance with the Government Property Policy and Procedures.
- Assist with event planning and execution. Coordinate travel arrangements and itineraries.
- Update company website.
- Assist with any special projects as needed.
Skills and Qualifications:
- 3 years of administrative experience.
- 3 years of experience managing and planning events.
- 3 years of experience arranging travel accommodations and itineraries.
- Proficiency with MS Office Suite.
- Ability to work independently with minimal supervision and as part of a team.
- Superior interpersonal skills and the ability to communicate effectively with a broad array of people.
- Excellent organizational skills, including the ability to set priorities and juggling competing demands and deadlines.
