Our Client in Wilmington, DE is seeking a highly organized, proactive, and professional Executive Administrative Assistant to support their Director of Client Relations. This role is ideal for someone who thrives in a fast-paced environment, can manage complex schedules, and handles sensitive information with the utmost discretion.
The ideal candidate will be a self-starter with excellent communication skills, strong technical proficiency, and the ability to work independently while maintaining a high level of professionalism. This position plays a critical role in ensuring the smooth operation of the Director’s day-to-day responsibilities and supporting the broader team in her absence.
Key Responsibilities
- Manage and maintain complex calendars, including scheduling meetings, appointments, and travel
- Serve as a gatekeeper and liaison for internal and external communications
- Prepare, review, and process travel arrangements and expense reports
- Handle confidential and sensitive information with discretion
- Prioritize and delegate tasks as needed to support team efficiency
- Draft and edit professional correspondence and internal communications
- Support team operations and maintain continuity during the Director’s travel or absence
- Coordinate logistics for meetings, trainings, and team events
- Track deadlines, follow up on action items, and ensure timely completion of tasks
Qualifications
- 5–7 years of administrative or executive support experience
- Exceptional organizational and time management skills
- High level of discretion, integrity, and professional maturity
- Strong written and verbal communication skills
- Proficiency in Microsoft Office Suite, calendar management tools, and virtual meeting platforms
- Ability to work independently, make sound decisions, and manage competing priorities
- Experience handling confidential data and supporting senior leadership
- Positive, professional demeanor with a collaborative mindset
