Our Client in Newark, DE is seeking a Senior/Executive Administrative Support professional for an Assistant to the Dean position. This is a 1-year interim role from July, 2025 - July, 2026. This position offers $28.00 - $31.00 per hour based on experience.
Experience in higher education is a huge plus, but not required!
Key responsibilities include, but are no limited to:
Provide administrative support to the Dean / Dean's Office
- Assist with daily functions of the Dean's office to ensure seamless operations
- Provide administrative and calendar support
- Act as the primary support for College business meetings including; scheduling, overseeing details, tracking attendance, and taking meeting notes
- Maintains College master calendar for events, academics, financials, promotion and tenure, etc., and works with College leadership team to ensure that deadlines are met.
- Responsible for scheduling and coordination of dean's office conference rooms, including setup, equipment maintenance, and support for meetings/events.
- Maintains public mailing and other distribution lists and performs annual updates of College directory.
- Responsible for ordering of office supplies, printed materials and other items to support Dean’s Office needs.
- Engage with staff, faculty and students across the College, University administrative offices, parents, clinical and business partners, Advisory Council members, and others internal and external to the University.
- Serves as first point of contact at the main reception desk as needed, assisting in other areas to support the daily operation and administration of the dean’s office.
- Communicates professionally, effectively and efficiently on a daily basis via email correspondence, phone or in-person, responding to a variety of requests, questions and concerns.
- Proactively provides solutions to issues that arise and anticipates next steps needed to advance priorities of College leadership.
- In partnership with the College Events Manager, coordinates activities to support top-level events and outside visitors including scheduling, invitations, room set-up, travel coordination, itinerary and on-site support.
- Principal contacts are with College leadership team, including the Dean, department directors/chairs and administrators, external advisory board and other high-level community partners, donors, and others who work closely with the College. Frequently handles highly sensitive and/or confidential issues on behalf of the Dean in situations critical to overall unit operations.
- Performs additional miscellaneous job-related duties as needed.
Requirements:
- Proven experience in a Senior Administrative Assistant, Executive Assistant, Assistant to the Dean, or other related roles required.
- Effective organizational skills.
- Proficiency in Microsoft Suite (Word, Excel, PowerPoint, Teams) preferred.
- Experience with university systems include PeopleSoft, Cognos, and Concur preferred.
- Ability to operate with the highest level or professionalism and confidentiality.
- Ability to handle multiple tasks concurrently, with an attention to detail, and skill in organizing resources and establishing and adjusting priorities in a rapidly changing environment.
- Ability to plan, organize and complete tasks in an efficient and timely manner, prior to deadlines.
- Ability to work collaboratively, anticipate issues and proactively seek resolutions.
- Ability to interact effectively with a wide range of constituencies both within and outside the university, including excellent verbal and written communication skills.
