Summary:
The A/P Payroll Clerk is responsible for processing vendor payments and employee payroll while maintaining accurate financial records and ensuring compliance with established policies and procedures. This position requires exceptional attention to detail, strong organizational skills, and the ability to handle confidential information with discretion.


Key Responsibilities

Accounts Payable (A/P)

  • Verify and process vendor invoices for accuracy and completeness.

  • Record vendor payments and maintain accounts payable records.

  • Reconcile accounts payable statements with vendor records.

  • Research and resolve discrepancies in invoices and statements.

  • Respond promptly to vendor inquiries regarding payments.

Payroll

  • Collect, review, and process employee timesheets and payroll data.

  • Calculate wages, deductions, and issue paychecks.

  • Maintain accurate employee records, including attendance and personal information.

  • Generate periodic payroll reports for management review.

  • Ensure accurate and timely payroll processing in compliance with company policies and applicable regulations.

General Accounting Duties

  • Record, classify, and summarize accounting data accurately.

  • Assist with month-end closing processes and general ledger reconciliations.

  • Respond to department inquiries regarding account numbers, balances, and transactions.

  • Maintain strict confidentiality of sensitive payroll and payment information.


Skills & Qualifications

Technical Skills

  • Proficient in QuickBooks or similar accounting software.

  • Strong command of Microsoft Office Suite, particularly Excel.

  • High proficiency in 10-key data entry.

  • Ability to quickly learn and adapt to new accounting systems.

Soft Skills

  • Exceptional attention to detail and accuracy.

  • Strong organizational and time management abilities.

  • Excellent communication and customer service skills.

  • Ability to manage multiple priorities in a deadline-driven environment.

Experience & Education

  • High school diploma or equivalent required; college or business coursework preferred.

  • 3–5 years of experience in accounts payable and/or payroll processing required.
