Position: Purchasing Assistant
Pay Rate: $21.00 - $23.00 /hourly
Location: Modesto, CA
Schedule: Monday - Friday | 8:00am - 5:00pm
Job Description:
We are seeking a Purchasing Assistant who will assist the Purchasing Manager in all facets and activities in the operation of the Purchasing Department.
Duties and Responsibilities:
- File & Community Setup
- Create and manage subcontractor/supplier/consultant files (MSA/MCA, W9, insurance, etc.)
- Set up file drawers and digital folders for new communities
- Format and upload community-specific documents (scopes of work, price sheets, draw schedules)
- Create superintendent and lot files; maintain all executed contracts and specs
- Document Distribution
- Send bid results and new release notices to vendors and supers
- Manage Outlook groups for each community
- Distribute payment schedules and include required supporting docs (e.g. pricing matrices)
- Share updated specs and pre-lien forms with subcontractors
- Community Binders & Sales Materials
- Prepare binders for supers, sales, escrow, design center (within 1 month of flooring award)
- Maintain sales feature books in PowerPoint
- Rebates
- Track and process manufacturer rebates quarterly
- Set up projects with builder partnerships using spec sheets
- Samples
- Collect, label, and distribute samples (cabinets, countertops, flooring, etc.)
- Ensure timely delivery for model and sales use
- Land & Architecture Contract Support
- Set up project folders for Land/Architecture teams
- Enter pricing into ECI Marks system
- Additional Duties
- Assist other departments, troubleshoot daily issues
- Cross-train as needed and complete tasks independently once trained
Qualifications:
- Word, Excel, Data Entry, and Customer Service assessments are required.
- 2 years of prior purchasing experience is required
- High school diploma required; some college preferred
- Proficient in computers, including all Microsoft Programs
- Strong communication skills, both oral and written, are required
- Ability to continuously project a positive image of Bright Homes when dealing with homeowners, subcontractors and the general public, while maintaining a courteous and even temper when dealing with all types of situations
- Ability to read and interpret documents such as operating and administrative instructions, and follow set procedures
- Ability to write clear correspondence
- Prior construction experience is preferred
- Prior experience with ECI Marks Systems software is preferred
- Must be familiar with home construction
