Job Duties:

• Provide professional support to customers, vendors, internal business partners and the company in general.

• Monitor and order miscellaneous office supplies and provide back-up receptionist duties/coverage.

• Track incoming plans and log relevant data into plan log spreadsheet.

• Enter customer purchase order information into company database within established guidelines, work orders, and maintain job records.

• Assist with customer accounts, keeping customer requirements in mind.

• Schedule transportation to meet client delivery dates, track shipments, and provide logistical support to customers as required.

• Call carriers for pick ups, complete bill of ladings, create shipping labels and process freight claims as required.

• Submit invoices upon product shipment.

• Provide, as a back up, "end of day" reports to UPS and Fedex.

• File paperwork as required.

• Enter and submit purchase order information to vendors within the company’s guidelines and processes work orders, maintain job records, enter packing slips (from delivered products) into spreadsheet, file purchase order with confirmation, match packing slips with invoices from vendors.

• Support Project Managers by following up on material orders, develop job specific quotations based on project manager take-offs, processing change orders, develop shipping packing lists.

• Generate reports from database or accounting system as required.

• Prepare weekly employee timecards, attendance binder, and pay week spreadsheet.

• Aid accounting personnel, including entering Payables/Receivables, distributing payables for approval, filing, and make bank deposits.

• Review the invoice summary and compare to the accounting receivable report, investigate and resolve any discrepancies.

• Arrange travel reservations – duties include researching and booking (purchasing) flights, rental car, and hotel; create and distribute travel itinerary.

• Download and organize in the photo library all pictures taken with digital camera. Ensure you have an established back up that will facilitate this task in your absence.

• Other duties as assigned.

Education/Experience:

High school diploma.

2-4 years past office experience supporting multiple people.
