Office Manager
Overview:
Metairie, LA: Flexicrew Technical Services (FTS) is seeking a highly organized and detail-oriented Office Manager to support a dynamic team across a range of operational, administrative, and client service functions. This role is essential in ensuring the smooth daily operation of both office and field activities. The successful candidate will be capable of multi-tasking, comfortable with time-sensitive tasks, and proactive in maintaining systems, communications, and compliance processes. This is a full-time, 4-day-a-week position with 8–10 hour shifts and offers competitive pay based on experience, as well as health benefits and 401k.
Essential Duties:
• Answer incoming phone calls and gather detailed information as needed
• Assemble and manage hiring packets and other onboarding documentation
• Manage and update all company social media platforms
• Maintain appropriate levels of janitorial and office/shop supplies
• Provide administrative and project support to team
• Manage the uniform and safety account through Cintas
• Cross-reference employee weekly time logs with GPS truck data for accuracy
• Monitor fuel usage and ensure proper tracking and reporting
• Catalog all daily reports; track progress for quarterly bonuses and prepare bonus payout sheets
• Coordinate quarterly meetings, including safety training agendas and scheduling
• Generate and process purchase orders
• Assist with inventory management and tracking
• Create and maintain documented processes and procedures
• Track usage, maintenance, and scheduling of company trucks and fuel
• Maintain and update roof warranty records; issue company warranties and track manufacturer warranty submissions to ensure all completion documentation is properly filed
• Monitor and manage time and material job records
• Coordinate employee training schedules, enroll in required training courses and drug tests
• Set up new jobs in the company’s internal systems
• Provide client coordination and communication support throughout project lifecycle
• Support internal employee coordination needs and scheduling
• Coordinate and apply for permits as required for jobs and services
• Assist with service work by gathering information, organizing work orders, scheduling, compiling billing and invoices, managing calendar tasks, and submitting completion notices to the Service Department
• Enter materials used, develop scopes of work, and ensure service documentation is accurate and timely
• Upload and manage contracts, bid documents, daily repair schedules, and project completion timelines
• Book travel accommodations for crew members, including hotels
• Order job-related equipment as needed through approved vendors
• Maintain and manage accounts on all required safety compliance platforms (ISNetworld, DISA, Avetta, GCSC, etc.)
• Collect and code company credit card receipts; submit for approval and enter codes into the banking platform
• Perform general administrative errands and support functions to ensure a positive and productive office environment
Requirements/Skills:
• Proven experience in an administrative, coordination, or office management role
• Strong multitasking and organizational skills
• Proficient in Microsoft Office Suite and digital communication platforms
• Familiarity with time tracking systems and GPS integration is a plus
• Ability to maintain confidentiality and exercise discretion
• Strong written and verbal communication skills
• Ability to work independently and collaborate across multiple teams
• Experience with compliance portals such as ISNetworld, DISA, Avetta, and similar platforms preferred
• Detail-oriented with a focus on accuracy and follow-through
• Comfortable managing diverse tasks in a fast-paced environment
Physical Requirements:
• Ability to sit, stand, and use office equipment for extended periods
• Occasional lifting of office supplies or small equipment (up to 25 lbs)
• Occasional driving for errands or off-site coordination as needed
