Job description
The Office Manager will be responsible for managing office operations, coordinating administrative support, and ensuring a productive and organized office environment. This role will require excellent organizational and communication skills, as well as the ability to manage multiple tasks and priorities efficiently.
Key Responsibilities:
Office Administration:
Oversee daily office operations and ensure everything runs smoothly.
Maintain office supplies and equipment, ensuring stock levels are kept up and ordering new supplies as needed.
Handle incoming and outgoing mail, packages, and deliveries.
Organize and maintain office filing systems and records.
Staff Coordination:
Supervise administrative assistants and office staff.
Assign tasks, monitor performance, and ensure that deadlines are met.
Coordinate staff schedules, meetings, and workspaces.
Communication:
Serve as the primary point of contact for office visitors, phone calls, and emails.
Assist in scheduling and coordinating meetings, conferences, and events.
Communicate with vendors, service providers, and other external stakeholders.
Facility Management:
Ensure office facilities are clean, organized, and well-maintained.
Coordinate with building management for any office-related repairs or improvements.
Financial Administration:
Manage office budgets, track expenses, and ensure cost efficiency.
Process invoices, payments, and track office-related expenditures.
Assist with payroll and other HR-related administrative tasks.
Health and Safety Compliance:
Ensure the office complies with health and safety regulations.
Implement office safety procedures and handle emergency situations as required.
Event Planning:
Coordinate company events, team-building activities, and client meetings.
Plan and organize company parties, holiday events, or training sessions.
Qualifications:
Education: High school diploma or equivalent (Associate's or Bachelor's degree in Business Administration or related field preferred).
Experience: 2+ years of experience in office management, administrative support, or a related field.
Experience with the “TRACK System”
Experience with Daily Cost Tracking.
Skills:
Strong organizational and time-management abilities.
Excellent communication skills (written and verbal).
Proficiency in office software (e.g., Microsoft Office Suite, Google Workspace).
Ability to handle multiple tasks and prioritize effectively.
Attention to detail and problem-solving skills.
Experience with budgeting and financial management.
Physical Requirements: Ability to lift and move office supplies or equipment up to [weight limit, e.g., 25 lbs].
Work Environment:
Office setting with occasional need for travel or off-site coordination.
