Job description

Summary:

We are searching for an Office Assistant to join a local company in Sparta, TN. The ideal candidate will be organized and customer-focused with experience supporting day-to-day operations in a small HVAC company. Skilled in handling incoming calls, making cold calls, scheduling service appointments, and providing excellent customer service. Adept at sales support, filing, and managing job calendars. Known for strong communication skills, attention to detail, and the ability to multitask in an office environment.

Schedule: 8am-5pm, Monday-Friday

Pay: $12 **evaluations will be completed as soon as 2 weeks into position, to determine a higher pay rate, based on performance**

Responsibilities:

  • Answered incoming calls, scheduled service appointments, and coordinated daily technician dispatch.

  • Maintained accurate customer records, service logs, and invoicing through office software.

  • Ordered office supplies and HVAC parts to ensure smooth daily operations.

  • Communicated with customers regarding job updates, scheduling, and follow-ups.

  • Performed general administrative duties, including data entry, filing, scanning, and email correspondence.

  • Some cold calls, sales, and upselling may be included.

Qualifications:

  • Previous office or administrative experience, preferably in the HVAC or service industry.

  • Strong organizational and multitasking skills.

  • Proficiency with office software (Microsoft Office and scheduling systems).

  • Excellent verbal and written communication skills.

  • Ability to work independently and support a small team.

  • Customer service experience and a professional phone manner.

  • High school diploma or equivalent; additional clerical or HVAC industry training is a plus.
