Job Title: Office Assistant – A/R, A/P & General Office Support Job Summary: We are seeking a detail-oriented and organized Office Assistant to support our accounting and administrative functions. This role will primarily assist with accounts receivable (A/R), accounts payable (A/P), filing, and other general office duties. The ideal candidate is reliable, self-motivated, and comfortable working in a fast-paced office environment. Key Responsibilities: Assist with processing accounts payable and receivable transactions Prepare and send customer invoices; follow up on outstanding payments Match invoices with purchase orders and receipts; ensure accuracy and proper documentation Maintain organized and up-to-date filing systems (paper and electronic) Perform data entry and maintain records in accounting software Answer phones, greet visitors, and provide general administrative support Order office supplies and manage inventory Assist with mail handling, scanning, copying, and document preparation Support other departments as needed with clerical tasks Requirements: High school diploma or equivalent; additional education in accounting or office administration a plus Previous experience in an office environment, especially with A/P and A/R functions Familiarity with accounting software (e.g., QuickBooks, Sage, etc.) preferred Proficient in Microsoft Office Suite (Word, Excel, Outlook) Strong organizational skills and attention to detail Good communication skills and a professional demeanor Ability to manage time effectively and handle multiple tasks
