The Division Order Analyst plays a crucial role in the Trust Minerals Division by ensuring that mineral gifts received from various sources are processed efficiently and accurately. This role involves coordinating with internal and external stakeholders, setting up fund accounts, and managing all documentation related to mineral conveyances and estate distributions. The successful candidate will have strong communication skills, attention to detail, and a deep understanding of mineral estate management.


Job Responsibilities:

  • Receive mineral gifts from Estates & Trusts and other institutions.
  • Review all documentation required for transfer, ensuring completeness and accuracy.
  • Maintain records of mineral gifts and their associated documentation.
  • Collaborate with the Director of Estates & Trust Administration and Security Operations Specialist to obtain account numbers.
  • Set up fund accounts in the Trust Minerals Application for accurate distribution to beneficiary institutions.
  • Ensure proper allocation of funds to designated accounts.
  • Communicate with grantors to request mineral interests be conveyed by deed to the Board of Regents 
  • Advise grantors to forward recorded deeds to Trust Minerals for record-keeping.
  • Maintain a professional and respectful rapport with grantors throughout the process.
  • Engage with Executors of Estates and Estate attorneys to request the preparation and recording of Distribution Deeds.
  • Encourage grantors to include universal granting language in deeds to cover any unknown minerals intended to be donated.
  • Request and collect copies of leases, division orders, deeds, title opinions, and other relevant documents associated with donated properties.
  • Maintain a well-organized and accessible database of all relevant documents for future reference.
  • In accordance with legal and operational requirements, promptly notify all payors in writing of the transfer of ownership of mineral interests.
  • Furnish recorded copies of the necessary documentation to the payors, ensuring they are aware of the change in ownership.
  • Request updated division orders from payors, which may include a legal description of the producing property. Utilize Trust Minerals' form division order, using information from the payors' division orders.
  • Maintain a comprehensive record of all lease proposals received.
  • Organize and log these proposals in a designated Teams Folder, ensuring easy access and transparency for land management to review for approval to lease Trust Minerals.
  • Follow established procedures for Trust Minerals leasing, including documentation, negotiations, and contract execution.
  • Collaborate with the Cash Management team in the receipt and research of royalty checks for deposit.
  • Ensure that all royalty checks are received and processed accurately and in a timely manner.
  • Assist in reconciling discrepancies and resolving any issues related to royalty payments.


Job Requirements:

  • High school diploma or equivalent. Required
  • Minimum of 5 years of experience in a similar role, preferably in mineral estate management or division order analysis.
  • Bachelor's degree in a related field. Preferred
  • Experience in dealing with payors and managing division orders.
  • Familiarity with legal descriptions and division order processing.
  • Understanding of lease proposal management and land management procedures.
  • Proficiency in accounting and financial transactions related to royalty payments.
  • Proficiency in Microsoft Office Suite and relevant software applications.
  • Strong analytical skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Knowledge of mineral estate legal documents and property transfer procedures.
  • Ability to work efficiently and independently, managing multiple projects simultaneously.


Job Details:

  • Shift: M-F 8am – 5pm (Possible 1 day per week to work remote)
  • $47/hr + benefits
  • Full benefits – healthcare, dental, vision, 401k program.
