We are seeking a highly organized and detail-oriented Personal Assistant to support a private family and assist in the administrative and operational tasks of a ranching business. This role involves overseeing the management of multiple properties, coordinating logistics, and handling day-to-day personal and business-related tasks. The ideal candidate will be proactive, tech-savvy, and able to work independently without micromanagement.

Daily Workflow:

» Oversee three properties, ensuring all systems are maintained and fully stocked (groceries, household supplies, snacks, coffee, etc.).

» Schedule and coordinate subcontractors for property maintenance (e.g., fence repairs, HVAC servicing, gutter cleaning).

» Assist in hiring and managing cleaning staff for properties housing employees or guests.

» Ensure the household is well-stocked with essentials like spare light bulbs, sharpened knives, and general upkeep supplies.

» Organize and oversee travel bookings and scheduling for the family.

» Manage Google Calendar and send Zoom meeting invites.

» Conduct in-depth research for various projects and create clear, easy-to-read reports.

» Coordinate with agencies such as Jackson County, TID, BLM, and the DMV as needed.

» Oversee personal vehicle maintenance, including oil changes, detailing, and fueling.

» Track and manage utility bills and upkeep across personal residences and ranch business.

» Provide occasional pet care, including dog walking and pet-sitting as needed.

» Run errands and assist with business-related administrative tasks.

» Work with the company accountant on billing, expense tracking, and other financial tasks.

» Coordinate with the Cattle Foreman and other staff on ranch-related projects and scheduling.

» Act as a point of contact to ensure key projects move forward efficiently by proactively identifying next steps and gathering necessary information.

» Strong organizational skills – able to keep track of multiple tasks and ensure all aspects of property and business management run smoothly.

» Self-starter mindset – capable of working autonomously, anticipating needs, and staying ahead of projects.

» Detail-oriented & tech-savvy – experience with Google Docs, scheduling apps, and digital communication tools.

» Adaptable & flexible – comfortable handling a mix of household, administrative, and operational tasks that may vary seasonally.

» Excellent communicator – able to coordinate with employees, contractors, and vendors in a professional manner.

» Cultural fit – someone energetic, sharp, and eager to grow within the role, ideally comfortable working in a fast-paced, evolving environment.

» Monday – Friday 8 am - 5:00 pm » Hours may vary
