Position Overview
We are seeking a detail-oriented and experienced Ocean Import Coordinator to oversee and manage the importation of ocean freight shipments from origin to final delivery. This role requires strong organizational skills, knowledge of import regulations, and the ability to deliver exceptional customer service while ensuring timely, compliant, and cost-effective cargo handling.
Key Responsibilities

Coordinate full-container load (FCL) and less-than-container load (LCL) import shipments from origin to destination.

Receive and review pre-alerts and shipping documents from overseas agents for accuracy and completeness.

Ensure timely and accurate entry filings with U.S. Customs and other applicable government agencies (CBP, FDA, USDA, etc.).

Collaborate with customs brokers to facilitate cargo release and prevent delays.

Track and trace shipments, monitor vessel schedules, and provide proactive updates to customers.

Schedule and coordinate final delivery with trucking companies, warehouses, and clients.

Prepare and verify all necessary documentation, including arrival notices, bills of lading, invoices, and delivery orders.

Communicate effectively with overseas agents, carriers, customs brokers, and customers to resolve issues promptly.

Address and resolve shipment challenges such as demurrage, customs holds, and documentation discrepancies.

Maintain organized shipment files to ensure compliance and support audits.

Prepare billing and ensure timely invoicing for all shipments.
Qualifications

High school diploma required; associate’s or bachelor’s degree preferred.

1–3 years of experience in ocean import logistics or freight forwarding preferred.

Strong knowledge of U.S. import regulations, Harmonized Tariff Schedule (HTS) codes, and incoterms.

Familiarity with ocean carriers, port operations, and customs clearance procedures.

Proficiency in logistics systems such as CargoWise, Descartes, or INTTRA is a plus.

Excellent organizational and time management skills.

Strong attention to detail and ability to manage multiple shipments in a fast-paced environment.

Effective written and verbal communication skills.

Proficient in Microsoft Office Suite (Excel, Outlook, Word).
Work Conditions

Office-based position with standard business hours, Monday to Friday.

Occasional overtime during peak shipping periods.

Requires communication with international partners across multiple time zones.
