Job Title:  Receptionist


Salary :  $17 - $18 


Description:  Responsible for providing administrative support in the form of answering multiline telephones, typing, organizing correspondence such as letters and memorandums, maintaining the front office and maintaining confidentiality at all times.


ESSENTIAL DUTIES AND RESPONSIBILITIES include the following.  

  1. Answer all incoming calls within three rings with a smile in your voice.  Transfer calls or take messages as necessary.   Deliver all messages to the recipients immediately.  
  2. Greet all guests and offer a beverage. Assign a badge number and make sure they signed the logbook. Notify any appropriate employees about visitors.
  3. Sign for deliveries and distribute packages to addressees.
  4. Prepare applicant “no thank you” letters and maintain applicant database.
  5. Pick up mail at offsite mailbox daily.  Sort mail by department, open and date stamp all mail.  
  6. Prepare outgoing mail and deliver to mailbox daily.
  7. Assist in coordinating travel arrangements.
  8. Maintain records in a neat, concise, and orderly manner.
  9. Assist in planning and preparation of meetings, conferences, and conference telephone calls, as well as office events and special projects.
  10. Coordinate the repair and maintenance of office equipment.
  11. Keep refrigerator and kitchen stocked in the Interior Room.
  12. Inspect the office on a regular basis for burned out bulbs, stained ceiling tiles or damage and report to housekeeping.
  13. Properly complete and distribute the Sales Inquiry Form when receiving a call requesting a quote or information regarding a potential sale.
  14. Assist the People Department with incoming contractor paperwork to include assisting the contractor with completing the paperwork, preparing the badge, and assisting with procuring uniforms.
  15. Maintain current phone listing to include both office extensions and cell phone numbers and distribute to staff as updated.
  16. Assist staff with setting up voice mail and monitor to be sure that everyone has their voice mail set up with the proper announcement.
  17. Provide training to staff on the proper use of the phones.
  18. Work with vendors and KA IT to ensure the phone system is working properly and all phones are properly identified and in the correct locations.
  19. Perform other duties and/or special projects as assigned by manager.

COMPUTER SKILLS:


To perform this job successfully, an individual should have solid knowledge of Word, Excel, Publisher, Visio, and PowerPoint.


CERTIFICATES AND LICENSES:


Current Driver’s License.
