As the first point of contact for residents, visitors, and staff, you will play a crucial role in maintaining a welcoming, organized, and efficient front desk. This position requires strong multitasking abilities, excellent communication skills, and a high level of professionalism in a fast-paced environment. Key Responsibilities: Answer and manage a multi-line phone system, taking messages and transferring calls as needed. Greet and assist residents, guests, families, and vendors in a courteous and professional manner. Direct visitors to appropriate departments or resident rooms while following facility protocols. Perform general office tasks, including filing, typing, copying, scanning, faxing, and organizing. Handle data entry with accuracy and efficiency. Schedule and book transportation for residents as needed. Order and maintain office supplies, ensuring inventory is stocked. Maintain confidentiality and comply with HIPAA regulations when handling sensitive information. Monitor lobby and front desk area to ensure a safe, clean, and professional environment. Assist with additional administrative tasks as assigned. Qualifications & Requirements: [3+] years of experience as a receptionist, administrative assistant, or in a similar role. Proficiency in multi-line phone systems and front desk operations. Strong accuracy and efficiency in data entry and clerical tasks. Excellent written and verbal communication skills. Professional demeanor and great office etiquette in a busy, high-traffic setting. Strong organizational and multitasking abilities. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and general office equipment. Experience in a healthcare or senior living environment is a plus.
