Position Overview:
- Assist in managing and directing the workflow between the load pullers and truck drivers to meet the scheduled commitments determined by the Sales department. They will be cross-trained to handle dispatch and shipping manager's responsibilities, excluding physical yard duties. In addition, they will oversee the completeness and the condition of deliveries and returns.
Position Description:
- Dispatch drivers to various locations, schedule drop-offs, pick up appointments, data entry, and answer phones.
- Communicate deliveries and maintain contact with drivers throughout their shifts and address any routing issues they might have.
- Answer calls from delivery drivers and relay any emergencies they have to the appropriate channels.
- Dispatch drivers to confirm deliveries at the customer’s location.
- Perform customer service by receiving orders, answering phones, communicating schedules, providing order confirmation, provided exceptional customer service via telephone, resolving customer issues with expediency, and provide assistance where needed.
- Respond to a high volume of phone calls and/or redirect them to the person appropriate.
- Assist the Sales Department with updating customers on the status of their deliveries including any delays that occur.
- Liaison between shipping and dispatcher to ensure customer orders are ready for the following day.
- Organize drivers’ paperwork, scan invoices for the Accounting Department with orders for the following day.
- Schedule all appointments for inbound and deliveries. Upon arrival, take pictures of the trucks and their loads, and spot check the orders to ensure accuracy of load and bundles.
- Handle paperwork for loading and unloading of trucks by ensuring Pos that vendors bring are accurate to Pos on hand. Provide direction to specific location of orders of if it is a special order.
- Receive and verify all POs for hangers and boxes to ensure count. Scan POs to the Accounting Department for processing.
- Assist with inventory every Friday with data entry, verify orders picked with materials on the tickets, and transfer inventory into the Spruce operating system.
- Handle safety materials management with PPEs and keep stock of cleaning and sterilization supplies.
Position Requirements:
- Must have experience using computer software programs, Microsoft Office Suite, computer maintenance, and computer troubleshooting. that generate load sheets and delivery tickets from sales orders is required.
- Must have entry-level management/supervisory experience.
- Must have 2-3 years of administration experience
- 1-2 years of manufacturing experience preferred.
- Experience with scheduling.
- Must have filing experience.
- Some forklift experience and/or knowledge.
- Knowledge of lumber math, lumber grades, and species is preferred but not required.
- Demonstrates ability to handle responsibility and be accountable for actions/decisions.
- Ability to learn and understand lumber grades, lumber math, and species within six (6) months of employment.
- Ability to understand verbal and written instructions in English; ability to read and write English.
- Ability to speak and understand Spanish is preferred, but not necessary.
- Ability to diffuse irate customers and simultaneously provide customer service.
Schedule & Pay Rate:
- (1st shift) Mon - Fri | 8am - 5pm
