Job Title: Veterinary Receptionist

Tulsa, OK | $16-$17 per hour

Full-time | 3-4 days per week | 10-12 hour shifts: Saturdays & Sundays 2nd & 3rd Shift plus During the week, 3pm-12am

Job Summary: The Veterinary Receptionist is the first point of contact for clients visiting or contacting a veterinary clinic or hospital. This role requires excellent communication and customer service skills to provide exceptional service to clients and their pets. The Veterinary Receptionist is responsible for managing appointments, maintaining accurate records, handling phone calls and inquiries, and providing administrative support to ensure smooth operations of the veterinary clinic or hospital.

Responsibilities:

Client Relations: Greet clients with a friendly and welcoming demeanor, and provide exceptional customer service. Answer phone calls, schedule appointments, and respond to inquiries in a professional and courteous manner.

Appointment Management: Coordinate and schedule appointments for clients and patients, ensuring proper documentation and accuracy of information. Manage appointment calendars and make necessary updates or changes as needed.

Record Keeping: Maintain accurate and up-to-date client and patient records, including entering and updating client information, recording patient history, and managing files in compliance with clinic policies and regulations.

Financial Transactions: Manage client invoices, process payments, and provide detailed billing information. Ensure accuracy in financial transactions and handle confidential information with professionalism and integrity.

Client Education: Provide basic information to clients about clinic services, procedures, medications, and post-treatment care instructions. Answer client questions to the best of your ability or direct inquiries to appropriate veterinary staff.

Clinic Operations Support: Assist with administrative tasks, such as managing incoming and outgoing mail, organizing and filing documents, managing office supplies, and maintaining a clean and organized front office area.

Team Collaboration: Collaborate with veterinary staff, including veterinarians, veterinary technicians, and other support staff, to ensure efficient and effective operations of the clinic. Provide support and assistance to colleagues as needed.

Professional Development: Stay updated on clinic policies, procedures, and industry regulations. Attend training sessions and workshops to improve knowledge and skills related to veterinary receptionist duties.

Qualifications:

High school diploma or equivalent.

Previous experience in customer service, receptionist, or administrative roles.

Excellent communication skills, both verbal and written, with strong phone etiquette.

Ability to provide exceptional customer service and handle difficult situations with professionalism and empathy.

Strong organizational skills with attention to detail and accuracy in record keeping.

Ability to multitask and work in a fast-paced environment.

Proficient computer skills, including knowledge of veterinary software or ability to learn quickly.

Familiarity with veterinary medical terminology and procedures is a plus.

Passion for animals and understanding of basic animal care concepts.
