Seeking a highly organized, proactive, and dependable Personal Assistant to provide administrative support and assistance with personal tasks. The Personal Assistant will work closely with an Executive in the Birmingham area, handling a variety of tasks to ensure the smooth day-to-day operations of both personal and professional life. This is a key role requiring excellent communication, time-management skills, and discretion.
Key Responsibilities
- Calendar Management: Organize and maintain daily, weekly, and monthly schedules, ensuring all appointments, meetings, and events are accurately coordinated.
- Travel Coordination: Arrange travel including flights, hotels, and itinerary management.
- Correspondence Management: Handle emails, phone calls, and other communications, ensuring prompt and appropriate responses.
- Event Planning: Assist in organizing and planning events, meetings, and personal gatherings. This includes coordinating venues, guests, catering, and logistics.
- Research & Task Management: Conduct research, compile data, and prepare reports, presentations, or other documents as needed.
- Personal Errands: Run errands including scheduling personal appointments, and handling other miscellaneous personal tasks.
- Office Support: Provide general administrative support such as filing, organizing documents, and managing office supplies.
- Confidentiality: Maintain the highest level of confidentiality in handling sensitive information related to both personal and professional matters.
Qualifications
- Proven experience in a similar role or as an administrative assistant is preferred.
- Strong computer literacy with proficiency in Microsoft Office Suite and other relevant software.
- Excellent organizational skills with attention to detail.
- Ability to manage time effectively and prioritize tasks in a fast-paced environment.
- Strong written and verbal communication skills.
- Experience with calendar management and scheduling software is a plus.
- Familiarity with DocuSign or similar electronic signature platforms is desirable.
- A positive attitude with a willingness to learn and adapt to new challenges.
