Seeking a highly organized, proactive, and dependable Personal Assistant to provide administrative support and assistance with personal tasks. The Personal Assistant will work closely with an Executive in the Birmingham area, handling a variety of tasks to ensure the smooth day-to-day operations of both personal and professional life. This is a key role requiring excellent communication, time-management skills, and discretion.


Key Responsibilities

  • Calendar Management: Organize and maintain daily, weekly, and monthly schedules, ensuring all appointments, meetings, and events are accurately coordinated.
  • Travel Coordination: Arrange travel including flights, hotels, and itinerary management.
  • Correspondence Management: Handle emails, phone calls, and other communications, ensuring prompt and appropriate responses.
  • Event Planning: Assist in organizing and planning events, meetings, and personal gatherings. This includes coordinating venues, guests, catering, and logistics.
  • Research & Task Management: Conduct research, compile data, and prepare reports, presentations, or other documents as needed.
  • Personal Errands: Run errands including scheduling personal appointments, and handling other miscellaneous personal tasks.
  • Office Support: Provide general administrative support such as filing, organizing documents, and managing office supplies.
  • Confidentiality: Maintain the highest level of confidentiality in handling sensitive information related to both personal and professional matters.


Qualifications

  • Proven experience in a similar role or as an administrative assistant is preferred.
  • Strong computer literacy with proficiency in Microsoft Office Suite and other relevant software.
  • Excellent organizational skills with attention to detail.
  • Ability to manage time effectively and prioritize tasks in a fast-paced environment.
  • Strong written and verbal communication skills.
  • Experience with calendar management and scheduling software is a plus.
  • Familiarity with DocuSign or similar electronic signature platforms is desirable.
  • A positive attitude with a willingness to learn and adapt to new challenges.
