ADMINISTRATIVE COORDINATOR
The Administrative Coordinator will provide support to Foundation Management and the Foundations staff. They act as an ambassador of the organization in their interactions with the public and staff. As a member of the Operations Team, they will manage routine office tasks, complete special projects independently, and work cross-functionally within the Foundations and with other internal partners.
Key Responsibilities:

Performs a variety of administrative/clerical duties including but not limited to:
answering phones, submitting invoices and expense reports, and interacting with vendors -
Process incoming correspondence, both postal mail and electronic, inter-office mail, and deliveries in a timely manner

Schedule meetings for team members and maintain a central calendar for the Foundation

Prepare a daily gift log of donations received for Gift Processing

Maintains inventory of office supplies, stationery, marketing collateral, and equipment with orders placed as needed

Assist with plans and requests for on-boarding Foundation employees

Provide backup for the Senior Executive Assistant when they are not available

Provide support to the Development, Donor Engagement and Operations Teams for outbound communications, meetings, and special events

Update database as needed in partnership with the Data Management Team

Ensure adherence to HIPAA when working with patient information

As a member of the Foundations team, provide support for events and other duties as assigned
Minimum Qualifications
-
Associate’s Degree or equivalent combination of education and work experience
-
Three (3) years of experience in administrative support, office management, or a related field
Desired Attributes:

Proficiency with Microsoft Office Suite

Proficiency with digital meeting platform, i.e. Zoom, Microsoft Team, WebEx

Basic knowledge of relational database (NXT, RE or Salesforce)

Excellent interpersonal skills both in person and by phone, with high professionalism

Ability to communicate with sensitivity, tact and diplomacy

Strong organizational and time management skills, able to work independently

Excellent written and verbal skills
