Office assistant/receptionist needed downtown

 

Hours would be M-F 9-5 with paid parking – hold onto your receipts for reimbursement

 

 

They have 3 attorneys and a staff attorney in this office and then 10 other staff members. You would be answering phones -call volume is high. They have new client consultations on Monday, Tuesday’s, and Thursdays so those days are busier than Wednesday and Friday which are much slower.  

 

The firm is owned by two women attorneys, and we mostly have women staff and one male attorney. They are very small, so they all work together closely. Everyone is very warm and friendly and has great office morale. They are a Social Security Disability law firm so the work they do here is very meaningful and rewarding as they advocate for our clients to get the benefits they really deserve.

 

Job Summary
We are seeking a detail-oriented and organized Office Assistant to support our HIGH VOLUME team in daily administrative tasks. The ideal candidate will possess strong communication skills and a proactive approach to problem-solving. This role is essential in ensuring the smooth operation of our office environment, providing excellent customer support, and maintaining efficient office management practices. The position is downtown. Parking is reimbursed.

 

Duties

  • Perform clerical duties such as data entry, filing, and organizing documents.

  • Assist with customer support inquiries and provide timely responses to client needs.

  • Manage office supplies inventory and place orders as necessary.

  • Maintain an organized workspace and ensure that office equipment is functional.

  • Collaborate with team members to streamline office processes using Google Suite applications.

Experience

  • Previous experience in an office setting is preferred, showcasing skills in office management or as a personal assistant.

  • Proficiency in computer literacy, including familiarity with Microsoft Office Suite and Google Suite applications.

  • Strong organizational skills with the ability to manage multiple tasks simultaneously.

  • Excellent proofreading abilities to ensure high-quality documentation.

  • A background in customer support.
