We are supporting a dynamic and fast-paced organization in their search for a high-level Executive Assistant to join their leadership support team. This is a unique opportunity to work directly with C-suite executives, providing strategic and day-to-day administrative support in a critical role that keeps the business running smoothly.
Position Overview
As the Executive Assistant, you’ll be the central point of contact between the executive leadership team and both internal and external stakeholders. Your responsibilities will range from managing high-level communications and coordinating meetings to assisting with travel arrangements, preparing reports, and supporting strategic projects. The ideal candidate is highly organized, resourceful, discreet, and thrives in a fast-paced environment.
Key Responsibilities
- Provide high-level administrative support to C-suite executives and senior leadership
- Draft, edit, and manage executive-level communications, including emails and memos
- Coordinate, schedule, and facilitate executive meetings and events
- Take detailed meeting minutes and track action items to completion
- Handle minor accounting-related tasks using internal systems
- Manage complex travel arrangements and logistics
- Serve as liaison between executives and internal/external contacts
- Conduct research and prepare executive summaries and reports
- Support with special projects, committees, and event planning
- Promote and uphold the company’s culture and values
- Maintain confidentiality and professionalism at all times
Qualifications
- 4–7 years of experience in an administrative or executive assistant role
- High school diploma required; advanced coursework or degree preferred
- Exceptional written and verbal communication skills
- Strong attention to detail and proven organizational abilities
- Ability to prioritize and manage multiple tasks under pressure
- High level of discretion and professionalism
- Strong business acumen and a proactive, solution-oriented mindset
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Comfortable working independently and handling sensitive information
- Must have the unrestricted right to work in the U.S.
Work Environment & Schedule
- Hybrid schedule based in Scottsdale, AZ (4 days in-office, 1 day remote)
- Standard schedule is Monday–Friday, 7:00 AM – 4:00 PM MST
- Occasional after-hours communication and flexibility required
- Business-casual to business-professional dress depending on the day
- Company-provided laptop, office equipment, and home office setup
- Approximately 10% travel may be required

Travel: Up to 10%
Pay: $68,000.00 - $85,000.00 per year
