A growing wealth management firm is seeking a highly organized and proactive Executive Assistant to support a team of four executive officers. In this role, you will assist the current Executive Assistant with day-to-day operations including scheduling, travel coordination, meeting preparation, and handling confidential information with discretion and professionalism.
After the training period, this is an onsite position with hybrid flexibility (2–3 days per week, depending on office needs).
Key Responsibilities:
- Manage executive calendars, schedule meetings, and coordinate appointments to ensure efficient time management.
- Arrange complex travel plans, including flights, accommodations, and ground transportation.
- Prepare and distribute correspondence, reports, and presentations with a high level of accuracy and professionalism.
- Screen and prioritize incoming calls, emails, and communications, redirecting and following up as needed.
- Organize executive meetings — prepare agendas, take minutes, and track follow-ups.
- Anticipate executive needs and proactively provide administrative support.
- Maintain confidentiality when handling sensitive documents and information.
- Act as a liaison between executives and internal/external stakeholders.
- Support special projects and perform ad-hoc administrative tasks as assigned.
Qualifications:
- Prior experience supporting C-suite or senior executives in an administrative capacity.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Exceptional organizational and time management skills.
- Ability to prioritize, multitask, and adapt in a fast-paced environment.
- Strong interpersonal and communication skills.
- Professional discretion when dealing with confidential or sensitive matters.
