An accounts payable (AP) specialist manages an organization's vendor payments and expenses by processing, verifying, and reconciling invoices, ensuring accurate and timely payment to suppliers and maintaining detailed financial recordsKey duties include managing payment schedules, resolving discrepancies with vendors, performing month-end tasks, and using accounting software to maintain the company's financial health and cash flow. 

Core Responsibilities
  • Invoice Processing:
    Receive, verify, and enter vendor invoices into the accounting system. 

  • Payment Management:
    Process and schedule timely payments to vendors and suppliers using various methods (checks, electronic transfers). 

  • Reconciliation:
    Reconcile invoices with purchase orders and statements, identifying and resolving any discrepancies. 

  • Record Keeping:
    Maintain accurate and organized financial records and documentation for audit and tax purposes. 

  • Vendor Communication:
    Serve as a point of contact for vendors, resolving billing issues, disputes, or inquiries. 

  • Reporting:
    Generate reports on accounts payable status, outstanding balances, and upcoming due dates. 

  • Compliance:
    Ensure all activities comply with company policies and accounting regulations.
