We are seeking a highly organized, detail-oriented, and proactive Executive Administrator to provide comprehensive support to our executive team and ensure the smooth operation of our office. This role requires a strong understanding of basic accounting principles, a keen eye for detail, and the ability to manage multiple tasks efficiently. The ideal candidate will be comfortable working with urgency and accuracy, assisting both the accounting and engineering departments, and ensuring tasks are completed on time. The position also involves data entry, inventory management, and general administrative support to help keep things running smoothly.
Responsibilities
- Manage and maintain the Outlook Calendar for executives, scheduling meetings and appointments while ensuring optimal time management.
- Provide administrative support including preparing reports, presentations, and correspondence.
- Coordinate and track project timelines, deadlines, and deliverables to ensure successful completion.
- Assist with inventory management by receiving items into inventory and ensuring proper data entry.
- Provide clerical and office management support, including organizing files, ordering supplies, and ensuring the office operates efficiently.
- Follow up on tasks with office manager and engineers to ensure timely completion.
- Demonstrate excellent phone etiquette, answering calls and directing inquiries as needed.
- Proofread documents for accuracy and clarity before distribution.
- Exhibit an understanding of systems and technology, ensuring processes run smoothly and efficiently.
- Provide general administrative help as needed to foster a collaborative, fast-paced work environment.
Experience
- Basic understanding of accounting principles, including debits and credits, with attention to detail.
- Proven experience in an executive administrative support role or similar position is preferred.
- Strong proficiency in Outlook Calendar management and other Microsoft Office applications.
- Demonstrated ability in project coordination and maintaining accurate records.
- Exceptional organizational skills and a keen eye for detail.
- Effective communication skills, both written and verbal, with an emphasis on professionalism.
- Ability to work with urgency, accuracy, and a strong focus on keeping tasks moving forward.
- Prior experience in a clerk or personal assistant role is required.
