An established CPA firm in Marin County is seeking an Administrative Assistant to take the lead in assembling and organizing tax returns while also serving as the welcoming presence at the front desk.
In this role, most of your time will be spent preparing, assembling, and releasing tax returns, where accuracy and meticulous attention to detail are essential. You’ll also be the first point of contact for clients — greeting visitors, answering phones, and providing professional, friendly support to both clients and staff.

What You’ll Do

Manage the assembly and delivery of tax returns through mail and electronic channels.

Use electronic tax filing systems to ensure accurate and timely filing.

Create, print, and distribute 1099 forms.

Assist with invoicing and billing support.

Manage incoming and outgoing mail and shipments.

Maintain physical and electronic filing systems.

Be the first point of contact for clients — greeting visitors, answering phones, and handling inquiries with professionalism and warmth.

Provide general administrative and clerical support to ensure smooth office operations.

Handle confidential and sensitive information with discretion.
What You’ll Bring

Experience in a CPA or tax/accounting office is required.

Associate’s degree or higher required.

Minimum of 5 years of administrative support experience preferred.

Meticulous attention to detail — process-oriented and able to catch the small things.

Strong organizational skills and ability to manage multiple priorities under deadlines.

Proficiency in Microsoft Office Suite (Word, Excel, Outlook).

Experience with tax preparation software (e.g., CCH Axcess Tax, SafeSend, ShareFile) is a plus.

Knowledge of tax terminology and procedures is desirable.
Schedule

Full-time, 100% onsite, with schedule flexibility during business hours.

Overtime and some Saturdays required during tax seasons (January 2-April 15, and September 15-October 30). Vacation is not permitted during these peak periods.
Compensation & Benefits

Salary range: $75,000–$80,000, depending on experience.
