As the Controller/Office Manager, you will oversee all financial operations, ensuring compliance with tax regulations and providing leadership to the accounting and administrative staff. This role includes preparing financial statements, managing cash flow, and maintaining the accuracy of all financial processes. You will supervise and mentor administrative staff, help develop the company's financial strategy, and assist other departments in improving profitability. Additionally, you will manage insurance programs, oversee audits, and implement policy changes to enhance operational efficiency. This position requires a strong background in accounting, excellent leadership skills, and a proactive approach to problem-solving.

Requirements and Responsibilities:
Financial Management:
-
Prepare financial statements and operational reports for three separate divisions, as well as consolidated financial statements.

Review open contracts (WIP) and calculate monthly adjustments to record the percentage of completion.

Record all asset purchases, including related loans and depreciation.
-
Prepare monthly reviews and reconciliations of all balance sheet accounts.
-
Ensure timely completion of receivables and collections.
-
Prepare monthly maintenance contract billing.
-
Collect outstanding receivables.
-
Review customer credit status.
-
Prepare customer statements as needed.
-
Review all other billings (T&M & WIP) and ensure timely preparation.

Oversee all aspects of the company’s insurance programs, including Health, General Liability, Auto, and Worker’s Compensation.

Prepare Lien Waivers and Certificates of Insurance for customers.
-
Manage the organization’s cash flow, ensuring timely collections of receivables and payments of invoices.

Prepare monthly bank reconciliations.
-
Review all customer contracts.
Compliance:
-
Review payroll tax filings (940, 941, SUI, FUTA, W-2, etc.).

Prepare monthly sales tax filings.
-
Prepare and file annual 1099 tax returns.
-
Prepare annual 401(k) census and review Form 5500 tax return.
-
Oversee audits for sales tax and insurances.
Leadership:
-
Help develop the company’s overall financial strategy.

Assist other departments in improving their processes and the company’s profitability.

Be a key member of the company’s management team.
Administrative Duties:
-
Oversee and assist in all areas of accounting (billing, payroll, human resources, accounts payable, accounts receivable, and inventory).

Provide software training as needed for all modules (SAWIN, Office Suites, etc.).

Review and correct weekly administrative payroll.
-
Communicate with the president, management, and CFO regarding financials and provide necessary/requested financial information.

Keep abreast of IRS and state law changes.
-
Develop, implement, modify, and document record-keeping and accounting systems using current computer technology.

Establish and maintain a chart of accounts and assign entries to proper accounts.

Implement procedural and policy changes to improve administrative operational efficiency.

Administer vehicle purchases, including loan interest and required documentation.

Oversee vehicle loan payments.
-
Train employees on administrative/accounting functions as needed.

Conduct performance reviews and wage determinations for the accounting department.

Manage accounting hiring/terminations as needed.
-
Oversee office supplies, janitorial service, and office maintenance requests.
