Job Title:Administrative Assistant
Location: Indianapolis (Plainfield)
Employment Type: Full-Time, Pay between $22 and $23 an hour
Duties and Responsibilities
Admin communicates with customers and carriers promptly and accurately. They care and connect with both parties on a high level with empathy. They view the customers' problems as their own and seek to always deliver honest and helpful solutions. A tenured individual who can assist the entire team on basically anything.
Primary Responsibilities:
Must have good Microsoft Office skills, especially Excel. Ask them if they can create a formula. What is Excel used for?
Report to HR
Provide exceptional customer service to the team's customers.
Communicate daily with carriers, customers, and employees to ensure on-time pick-ups and deliveries
Enter load information; tracking/tracing shipments in the customers' software system.
Field general customer questions; issue resolution
Answer daily track and trace emails
Send updates to customers as directed in the template provided by
Daily tracking and updating status of loads via applicable TMS and applicable customer-specific systems, i.e., Navisphere, FourKites, BluJay, Transplace, Emerge, etc.
Outbound calls to carriers – must be updated in TMS
Outbound calls to customers at requested times
Assist with any special assignments or projects assigned by Carrier Operations Manager, HR
Qualifications:
High School Diploma (required)
Reliable transportation to the office
Ability to work assigned shifts in an office setting
Ability to work in a team environment
Ability to multitask
Strong communication skills
Ability to learn new skills
· Identify, pursue, and secure new business opportunities in international freight forwarding.
· Develop and maintain strong relationships with existing and prospective clients.
· Create tailored solutions to meet the diverse needs of importers and exporters.
· Stay current with market trends, industry developments, and competitive landscape.
· Conduct regular client meetings, presentations, and follow-up activities.
· Consistently meet or exceed monthly and annual sales targets.
Requirements:
· Minimum 3 years of admin experience. Logistics experience preferred.
· Demonstrated ability to develop leads, close deals, and build lasting business relationships.
· Familiarity with Microsoft Office.
· Strong communication and presentation skills.
· Self-motivated with a proactive approach and a strong drive to succeed.
· Capable of working independently and collaboratively in a fast-paced environment.
