Job Title: Job File Coordinator
Pay: Hourly (DOE) $20-$23
Schedule: Full-time, Monday–Friday, between 7:00 AM–5:00 PM (some flexibility/overtime may be required)
Location: Portland, OR

Company Overview:
GLISS is hiring for an established restoration company in NW Portland. This is an excellent opportunity to join a dedicated office team in a critical support role. The Job File Coordinator ensures accuracy of project files, documentation, and invoicing while maintaining strong communication between departments.

Key Responsibilities:
• Monitor job file status and ensure accuracy in documentation daily.
• Communicate with production crews to confirm all required documentation is captured on-site.
• Create and review estimates based on job scope and photos.
• Maintain an accurate Work in Progress board for active leads/projects.
• Ensure client and program requirements are followed.
• Review timestamps and job data to reflect accurate reporting/KPIs.
• Complete and review job file documentation for audits and final uploads.
• Perform internal audits to ensure estimates reflect all work performed.
• Assist with job close-out activities, including coordination with accounting for invoicing.
• Provide support to other departments as needed.

Qualifications:
• High school diploma or GED required.
• Previous office or estimating experience preferred.
• Strong customer service skills, administrative abilities, and excellent communication.
• Proficient in digital tools/software for documentation and reporting.
• Experience in restoration, construction, or insurance industry is a plus.

Physical Requirements:
• Primarily sedentary office role.
• Occasional filing may require lifting files, opening cabinets, bending, or using a step stool.

Schedule Details:
• Full-time, Monday–Friday, between 7:00 AM–5:00 PM.
• May require longer hours or schedule flexibility depending on business needs.
