Customer Service Representative 

Summary

This position is dedicated to supporting a specific customer account and is responsible for most day-to-day activities related to maintaining that account. This includes coordinating freight, processing inventory transactions, and managing customer communications.


Essential Duties and Responsibilities

  • Coordinate shipments to and from the warehouse to meet customer delivery requirements.

  • Generate shipment documents such as pick sheets, packing lists, and bills of lading.

  • Receive inbound freight, verify contents, and reconcile discrepancies with packing lists.

  • Create and apply part labels in accordance with customer specifications.

  • Communicate with customers and carriers regarding shipments, receipts, and transportation.

  • Greet drivers, provide loading and unloading instructions, and manage required documentation.

  • Promptly report any issues related to outbound or inbound shipments, including product damage, inventory discrepancies, or carrier delays.

  • Provide customers with inventory reports, including stock status, transaction history, and tracing information.

  • Enter and manage inventory transactions in the Warehouse Management System (WMS) or customer data system, ensuring data accuracy and proper document filing.

  • Coordinate with warehouse operations to schedule inbound/outbound freight, cycle counts, physical inventories, and special customer projects.

  • Maintain a strong understanding of warehouse Good Manufacturing Practices (GMPs).

  • Communicate customer feedback and concerns to warehouse management.

  • May assist with Sample Room duties, including sample production.

  • Perform additional duties as assigned.


Work Environment

The warehouse environment may be dusty, dry, or humid, with temperatures typically ranging between 40°F and 90°F. Conditions may vary seasonally. Some odors or food allergens may be present depending on stored products.


Qualifications

  • General office experience with strong computer and communication skills.

  • Proficiency in Microsoft Word, Excel, and Outlook required.

  • Experience with Dynaway AX Asset Management Software preferred.

  • Familiarity with Zebra printers, copy machines, two-way radios, and multi-line phone systems.

  • Highly organized and able to manage multiple tasks simultaneously.

  • Strong verbal and written communication skills to effectively interact with customers and internal teams.

  • Ability to identify and resolve problems promptly and accurately.

  • Strong attention to detail and commitment to inventory accuracy.

  • Prior customer service and/or warehouse experience preferred.

  • Must maintain a professional demeanor and provide exceptional customer service at all times.


Physical Requirements

  • Ability to stand, sit, walk, stoop, hear, and communicate for extended periods.

  • Must occasionally lift up to 50 pounds.

  • Maintain awareness of forklift traffic and other warehouse safety hazards.

  • Manual dexterity required for data entry, document handling, and product labeling.


Travel

  • No day or overnight travel is expected for this position.
