Position: Admin Assist, AR/AP Specialist- QuickBooks
Pay Rate/Range: $17-$24 hour DOE
Description:
Perform a wide range of administrative and office support activities for the department and/or managers and supervisors to facilitate the efficient operation of the organization. QuickBooks experience preferred. Must be a team member who is willing to jump in and help out where needed. High level of integrity is a must. Positive attitude and willingness to learn.
Duties and Responsibilities:
- Assist in all aspects of general office coordination.
- Maintain the Calendar for Conference room and training room.
- Maintain confidentiality in all aspects of client and staff information.
- Support office staff with projects as needed.
- Customer invoicing as product is shipped.
- Diligently maintain the accounts receivable aging report.
- Contact customers as needed when payments are not received in a timely manner.
- Verify and process various supplier invoices.
- Match payables to approved purchase orders.
- Set invoices up for payment.
- Monitor accounts to ensure payments are up to date.
- Resolve invoice discrepancies.
- Correspond with vendors and respond to inquiries.
- Reconcile vendor and supplier accounts.
- Produce monthly reports.
- Assist in month end closing.

Physical Demands:
- Able to lift 25 lbs from floor to shoulder level occasionally.
- Will be required on occasion to work more than 8 hours on one shift
- Requires occasional bending, stooping, and lifting, carrying and frequent sitting. Reaching or handling with arms, hands and fingers.
- Manuel dexterity sufficient to work with fingers.
- Normal vision with or without corrective lenses.

Shift/Schedule: Monday-Friday 1st Shift 7am-3:30pm
