House cleaning Supervisor/Office Manager

Do you have previous office experience? Sales experience? (Not required, but a HUGE plus!!) Scheduling also a huge plus!!!!

hours will be Monday to Friday 8am to 5pm,  $16/hr  

This position is a great chance to learn the ins and outs of managing a busy office!! If you are up for a challenge, this might be the job for you. Candidates should be able to do the following: 

Job Purpose is smooth office operations and quick response times. Answer phones, assist technicians (mapping, questions, open to close process at deeps). Direct calls, handle follow up sales calls, providing quotes, and handle scheduling calls. Maintain records, run reports, and monthly stats (sales, cancellations). Maintain birthday schedule, gifts, anniversary and recognition schedule. Run P&L's

Sales and Scheduling: Purpose is to convert to sale at 60% or higher. Book every converted lead timely. Correct service failures, convert clients to raving-fan status. High customer satisfaction through communication. Quality service, customer satisfaction (low cancels/skips, good online reviews). Understand, monitor, and make recommendations on sales trends. 

  • Ensure leads and prospects are followed up on within 2 hours and converted to sales and recurring customers. Use "Sales Script" for sales calls. Use and complete the lead sheet.  
  • Improve prospect conversion
  • Document all notes with each client and prospect in the Notes section of the client's home page, track  and measure all leads and conversions. Submit reports to owner
  • Set up in home estimates when necessary and communicate information provided by our staff to the client
  • Inform staff when a last minute change has been made to their schedule
  • Maintain daily stats

Scheduling:

  • Handle all scheduling needs and maintain continuity with client their preferred tech, day and time. 
  • Book monthly clients 
  • Onboard new hires and set their training schedule
    • Schedule training days 1-5 with the same trainer 
    • If unable to inspect, please call the customer for a follow up immediately after the clean for their feedback. Send for quick correction if needed.
  • Involve owner when a customer cannot be satisfied or there are severe issues that cannot be resolved
  • Coach offending cleaning technician
  • Make recommendations to owner regarding trends, changes.
  • Document complaints, issue complaint form to Cleaning techs
  • Make recommendations to the owner for cleaning tech discipline 
  • Document "standard operating procedures" for scheduling, invoicing, attendance, running payroll, PTO, reconciling with Quickbooks and Stripe (integrated with MC).

     
  • Study trends, adjust pricing, roll out price increases to clients with us a minimum of 1 year March 1st. 
  • Create policies with the owner and ensure proper documentation and release of information to staff. 
  • Create processes with the owner and ensure implementation.


Recruiting: Run Job Posts on Indeed, boost when needed, and ensure regular employee recruitment. Use the Hire Lead Chill platform for candidates and the pipeline. Ensure enough field technicians are on staff to fulfill service demand. Ensure enough jobs are available for available staff.
Recruit hires that are hardworking, have integrity, have stayed at jobs and not job hopped all over, and can work 35-40 hours each week. Ensure hires do not live 30 minutes or more away from our office/service area). Bring on hires who value cleaning, the skills involved to do it properly, hires that are ready to sweat because cleaning isn't easy. Hires that are competitive and like to keep moving, enjoy the independence and can be trusted to be independent.
 Track all stats pertaining to hiring, how much $ spent, what areas are we pulling from, what is our employee retention. Brief owner on hiring trends and make suggestions as needed.

CLEANING:

A large portion of this job could also contain CLEANING!!!!!!!!!! You WILL train to be able to clean properly to standards. You will spend the first few weeks in the field, cleaning homes and offices and learning the trade. 

You could be required to clean if a tech is out for the day as well. You will need to know all of the chemicals uses, how to clean correctly, and be comfortable stepping in to that role if needed.
