About the Job
We are seeking an Administrative Support Specialist to provide advanced administrative and secretarial support to program staff, supervisors, and management. This role handles a variety of moderately complex to highly complex tasks, ensuring smooth daily operations.
What You’ll Do
- Manage office records, files, personnel documents, and meeting schedules
- Enter and track revenue receipts; prepare revenue reports
- Oversee payroll processing and resolve payroll issues
- Prepare and proofread correspondence, reports, meeting minutes, agendas, and case files
- Handle confidential information with discretion
- Arrange meetings, maintain calendars, and provide logistical support
- Assist with purchasing, accounts payable, and budget tracking
- Draft and prepare budget documents for supervisor review
- Process work orders and coordinate office functions with other departments
- Answer calls, provide customer service, and route inquiries appropriately
- Support special projects or processes as assigned
Qualifications
- Strong administrative and clerical skills with attention to detail
- Experience with payroll, purchasing, and budget support preferred
- Excellent written and verbal communication skills
- Ability to handle confidential information with professionalism
- Strong organizational and multitasking abilities
- Proficiency with Microsoft Office Suite
