We are seeking a highly skilled and experienced Executive Assistant to join our team. As an Executive Assistant, you will provide comprehensive support to our senior management team, ensuring the smooth execution of daily operations. This role requires exceptional organization and communication skills, as well as the ability to handle confidential information with utmost discretion. The ideal candidate is detail-oriented, proactive, and possesses a keen ability to prioritize and multitask in a fast-paced environment.


Key Expectations:

  • Manage executive-level tasks with good judgment in a timely and efficient manner.
  • Collaborate with the upper management team as directed by the Executive.
  • Represent the Executive and Companies with professionalism and integrity.
  • Develop and maintain good rapport with clients, trade partners, and vendors.
  • Demonstrate flexibility in workflow/activities etc.
  • Demonstrate tact and discretion when dealing with confidential information.
  • Collaborate with customer requests, questions, and inquiries in a polite and business-like manner.


Duties: 

  • Keep Executive up to date daily, on priorities/projects/clients.
  • Manage incoming calls and emails for the Executive.
  • Provide administrative assistance, such as writing and editing emails, drafting memos, and preparing communications on the Executive’s behalf.
  • Manage the Executive’s calendar, including making appointments and prioritizing commitments and deadlines ensuring that the Executive is well prepared.
  • Attend meetings and take notes as requested by the Executive.
  • Manage and organize the Executive’s office/workspace including the filing system.
  • Create and maintain comprehensive and accurate records.
  • Perform necessary accounting duties.
  • Manage the Executive's travel logistics and activities, including accommodations, transportation, and meals.
  • Assist and support the Executive with personal commitments.
  • Assist with strategic planning of business.
  • Collaborate with other personnel needed.
  • All other duties as assigned.


Qualifications:

  • 2+ years of college or equivalent work experience.
  • 4+ years of experience in an administrative role.
  • Ability to stand in for the Executive during meetings.
  • Confidence to support, empower, and stand alongside the Executive.
  • Excellent written and verbal communication skills.
  • High-level customer service.
  • Multitasking and prioritizing.
  • Thorough understanding of office procedures.
  • Dependability and adaptability.
  • Working knowledge of office equipment.
  • Resourceful and proactive when issues arise.
  • Attention to detail.
  • Proficiency with QuickBooks, Procore, and Bluebeam software is a plus.
  • Ability to maintain confidentiality, discretion, and diplomacy.
  • Team attitude, learning-based, and a desire to assist in company growth/activities in all areas.
  • Professional image and a proven ability to manage executive-level tasks in a timely and efficient manner.
  • Ability to work independently as well as on a team and prioritize work in a timely manner.
  • Drug screen and background check upon offer of employment.
